How we select technology

Technology selection is part of our advisory work, not a shop window. This page explains how we assess business software and the categories of tooling we most often shortlist for clients.

How we assess technology

Every recommendation we make is tied to a documented process, a stated outcome and a defined set of constraints. We apply the same criteria whichever tool is under review.

Fit for the process, not the trend

We start from the process we are improving and the outcome you need, then look at what supports it. Tools are never the starting point.

Proportionate to your size

Enterprise platforms often carry cost and administrative overhead a smaller organisation cannot absorb. We weigh total effort, not licence price alone.

Data protection and residency

Where personal or sensitive data is involved we check processing locations, sub-processors, retention controls and the vendor's data-processing terms.

Interoperability

We favour tools with documented APIs and established connectors, so the choice does not create a new island of information.

Realistic exit

We check how you would get your data out, and what it would cost to change your mind in two years.

Accessibility and usability

For public-sector and charity work in particular, tools need to meet accessibility expectations and be usable by the people who actually do the work.

Categories we most often assess

We are vendor-neutral. Rather than publish a ranked product list, we set out what each category is for, when it earns its place and where organisations typically get caught out. Specific products are shortlisted against your requirements, not ours.

Workflow automation platforms

Connecting existing systems and removing repetitive rules-based admin without custom development.

Best suited to
Teams re-keying information between tools, or chasing approvals and handovers by email.
What to watch
Automating a poorly understood process simply produces errors faster. Map the process first.

CRM and case management

Holding a single, trusted record of clients, service users, cases or supporters and the work in progress against them.

Best suited to
Organisations tracking relationships or casework across spreadsheets and inboxes.
What to watch
Configuration and data migration usually cost more than licences. Budget for both.

Document and knowledge management

Controlling where documents live, who can see them and which version is current.

Best suited to
Teams with duplicated files, unclear retention and slow onboarding of new staff.
What to watch
Without agreed structure and retention rules, migration recreates the same problem.

Reporting and business intelligence

Turning operational data into reporting people trust and act on.

Best suited to
Organisations rebuilding the same report by hand every month.
What to watch
Reporting inherits the quality of the underlying data. Fix data ownership before dashboards.

AI assistants and applied AI tooling

Supporting drafting, summarising, triage and analysis where a human remains accountable for the output.

Best suited to
Teams with high-volume written work and clear review points.
What to watch
Needs an acceptable-use position, a personal-data boundary and named human review before rollout.

Security, identity and compliance tooling

Protecting accounts and data, and evidencing that protection to funders or clients.

Best suited to
Any organisation handling personal or sensitive information.
What to watch
We advise on operational fit only. Formal cyber-security and legal assurance sit with specialist advisers.

Independence and transparency

ATJ Consultancy is not a reseller. We do not accept payment in exchange for making a recommendation, and no commercial arrangement changes what we advise a client to do.

Recommendations made during an audit or engagement are based on your documented requirements. If no tool is the right answer, we will say so.
